How G-TRAC handles school and student information, in line with Ghana's Data Protection Act, 2012 (Act 843).

What we collect

  • Schools: school name, region, the categories you compete in, and one contact email.
  • Students: we do not ask for students' names, dates of birth or contact details. Each student gets an anonymous login ID (for example STU-K7Q2MX). We store their workbook answers, scores, league project links and notes, and when they last logged in.
  • Judges and staff: login ID and the scores they award, kept as a permanent audit record.

How we use it

  • To run the workbook, the league and the championship, and to publish team rankings (team and school names only).
  • To show schools their students' progress, and to report anonymous, combined statistics to sponsors and partners.
  • AI assistance: when a teacher or judge asks for an AI suggestion, the question, the marking guide and the student's written answer or project notes are sent to Google's Gemini service to produce a suggested mark. No login IDs or names are sent. A person always makes the final decision.

Consent and your rights

Schools confirm when registering that they have consent from parents or guardians for students to take part. Parents, guardians and schools may ask to see, correct or delete a student's data. Teachers can remove a student's account and work from the school portal at any time. Other requests can go to G-TRAC HQ through your school.

Security

Passwords are stored only as salted hashes, sessions are signed, and access is limited by role: teachers see only their own school, and judges see only competition entries.
